Terms and Conditions
Emperium s.r.o., with its registered seat at Široká 24/4, Josefov, 110 00 Prague 1, Czech Republic, Company reg. no. 28453123, registered in the Commercial Register kept by the Municipal Court of Prague, File No.: C 142610 ("we", "us" or the "Emperium") welcomes you on the website https://xiaomiwinterlaunch.cz/ (the "Website").
Emperium provides complete services for its client, Beijing Xiaomi Mobile Software Co., Ltd. a legally incorporated entity in No. 018, floor 8, building 6, yard 33, middle Xierqi Road, Haidian District, Beijing (the "Client"), in the organization and holding of the Event, which will take place on 21st of January at Forum Karlín, Prague (the "Event"). Emperium and Client have entered into a separate agreement outlining the Emperium´s responsibilities in organizing the Event.
The Website has been created exclusively for Event purposes, in particular for registration of its participants and to facilitate the travel arrangements for the Event participants and facilitating the Event logistics. These terms and conditions of use (the "Terms") shall govern your access to the Website, its use, and use of the Services (as defined below) as an Event Participant ("you" or the "Participant" or collectively with other participants of the Event "Participants").
1. Acceptance of these Terms
By visiting our Website using the link provided to you by Emperium or the Client, you claim that you are over 18 years old with full legal capacity and agree to adhere to these Terms and also to the Privacy Policy.
If you act on behalf of a company when accepting these Terms, you also declare to be authorized to perform such legal actions on behalf of the company (herein the term “you” shall mean the relevant company).
You agree to adhere to these Terms also by the fact that you visit or use the Website or a service we provide or make accessible to you.
2. Our Services
2.1. Creation and Management of the Event Website
1. To facilitate the Event and ensure convenience for its Participants, Emperium has created this private Website. The Website is intended exclusively for:
- i. Registration of Participants for the Event;
- ii. Participants to enter the necessary personal and travel information (e.g., Passport or other ID card details such as passport/ID card number, place of birth, date of birth, date of issue, date of expiry, sex, food allergies, etc.);
- iii. Streamlining the process of organizing the Event and managing travel arrangements, including the booking of flight tickets, accommodation and activities.2>
2. Access to the Website is restricted to Participants and authorized entities who have received a unique link and password from Emperium or Client (the "Link").
2.2. Booking Travel and other Arrangements
1. Emperium will use the information submitted by Participant via the Website to arrange and purchase flight tickets for the Participant to attend the Event, accommodation and also activities within the Event program.
2. The Emperium’s responsibility for booking travel and accommodation is contingent upon the Participant providing complete and accurate information within the specified deadlines.
2.3. Limitations of Service
3. The Emperium's responsibilities are strictly limited to the services explicitly described in the agreement with the Client and these Terms and Conditions. Services provided include Event organization, the creation of the Website for Participant data submission, and the arrangement of travel logistics as specified.
4. Exclusions from Responsibility. Emperium shall not be responsible for:
- i. Participants’ failure to provide complete, accurate, or timely information required for booking travel;
- ii. Obtaining or verifying travel documents such as passports, visas, or any other permits required for Participants to attend the Event;

iii. Additional travel needs or preferences outside the agreed Services, such as:
- Travel upgrades or special accommodations,
- Baggage fees or other ancillary airline charges,
- Changes to travel itineraries requested by Participants after bookings have been made,
- Costs or penalties resulting from Participants’ failure to meet airline or travel provider requirements, including but not limited to check-in deadlines or boarding requirements.
3. External Service Providers. Emperium acts solely as an intermediary between Participants and third-party service providers (i.e.: airlines, hotels, transportation providers). Emperium is not liable for:
- Delays, cancellations, or changes to schedules made by third-party providers;
- Loss, damage, or theft of personal belongings during travel or duration of the Event;
- Any disputes or claims arising between Participants and third-party service providers.
4. Participant Responsibilities. Participants are solely responsible for ensuring:
- The accuracy and completeness of the information submitted through the Website;
- The validity and sufficiency of their travel documents;
- Compliance with health and safety requirements, such as vaccinations or travel-related medical documentation, where applicable.
5. No Guarantee of Availability. Emperium does not guarantee the availability of flights, hotels or other services. If Participant´s information is provided after stated deadlines or if circumstances beyond the Emperium's control occur, Emperium does not guarantee availability of its Services.
6. Technical Issues with the Website:
- i. While Emperium will make reasonable efforts to maintain the functionality and security of the Website, it shall not be held liable for technical issues, outages, or data losses arising from factors beyond its control (e.g., internet disruptions, cyberattacks).
- ii. Participants are advised to notify Emperium promptly of any technical difficulties they experience while using the website.
7. Force Majeure: Emperium is not liable for failure or delay in the performance of its obligations due to events beyond its reasonable control, including but not limited to acts of God, natural disasters, strikes, wars, pandemics, or governmental actions.
3. Participant Responsibilities
1. General Obligations
Participant is required to:
1.1. Provide Accurate and Complete Information: Ensure that all personal and travel information submitted to Emperium is accurate, complete, and up-to-date. Participant is responsible for promptly correcting any errors or omissions.
1.2. Adhere to Deadlines: Submit all required information and documents by the deadlines specified by Emperium to avoid delays or complications in travel arrangements.
2. Obligations When Using the Website and Link
Participant agrees to the following obligations when accessing and using the Website:
a. Use of Provided Credentials:
- Access the Website exclusively through the unique Link and password provided by Emperium/Client;
- Use the Website solely for its intended purpose, which is to submit personal and travel information to attend the Event.
b. Maintain Confidentiality:
- Keep the link, password, and any other access credentials strictly confidential;
- Do not share, disclose, or forward the credentials or link to any unauthorized individual or third party.
c. Prevent Unauthorized Use:
- Take reasonable steps to prevent unauthorized access to the Website by ensuring the security of personal devices and internet connections;
- Notify Emperium immediately if the link, password, or access credentials are lost, stolen, or suspected to be compromised.
d. Prohibited Actions:
- Do not attempt to modify, copy, or misuse the Website or its content;
- Refrain from any actions that could disrupt or compromise the Website’s functionality, including but not limited to hacking attempts, introducing malware, or unauthorized data extraction.
e. Compliance with instructions: Follow any additional instructions or guidelines provided by Emperium regarding Website usage and travel instruction.
f. Liability for Misuse: Acknowledge that any misuse of the Website or breach of these obligations may result in restricted access to the Website and may incur liability for any damages caused to Emperium, Client or other Participants.
3. Responsibility for Additional Travel Expenses
The Participant acknowledges that the flight ticket booked by Emperium includes only one carry-on baggage. Participants are solely responsible for ordering and covering any additional travel-related services and expenses that are not included in the flight ticket booked by Emperium. These expenses may include but are not limited to:
- i. Baggage Fees: Charges for checked or excess baggage, oversized or overweight luggage, or special items as determined by the airline's baggage policy.
- ii. Travel Insurance: Costs related to purchasing travel insurance, including coverage for trip cancellation, medical emergencies, or lost/delayed baggage.
- iii. In-Flight Services: Fees for in-flight services such as seat selection, meals, or upgrades.

iv. Transportation Costs:
- Transfers to and from the departure airport or Event location, unless otherwise agreed and covered by the Client (in such case the Participant would be informed in time about provision of such extra transfer).
- Local transportation or incidental travel during the Event.
- v. Visa and Immigration Fees: Costs associated with obtaining visas, travel permits, or other documentation required for entry into the Event location.

vi. Other Personal Expenses: Any additional costs incurred during travel, such as:
- Accommodation or meals.
- Fees for itinerary changes or additional services requested directly by the Participant from third-party providers.
Participants are advised to review all travel-related policies, terms, and conditions of third-party service providers (airlines, travel providers) to ensure they understand and prepare for potential additional costs.
4. Additional Responsibilities
4.1. Compliance with Travel Requirements:
- Verify that your travel documents (e.g., passport, visa) meet the requirements for travel to the Event location.
- Ensure compliance with health and safety regulations, including vaccinations or health certificates, where applicable.
4.2. Assume Responsibility for Errors: Acknowledge that any costs, penalties, or disruptions arising from incomplete, inaccurate, or untimely information provided by the Participant are the sole responsibility of the Participant.
4.3. Respect Event Policies and Guidelines: Adhere to all Event-related policies, instructions, and guidelines communicated by Emperium before and during the Event.
4.4. Communication with Emperium: Maintain open and prompt communication with Emperium, particularly if there are changes to personal information or travel arrangements.
4. Data Protection and Privacy
1. Emperium processes personal data in accordance with Regulation (EU) 2016/679 (GDPR) and applicable Czech data protection laws, including Act No. 110/2019 Coll.
2. Personal information collected through the Website is used solely for the purposes of organizing the Event, including booking travel arrangements, accommodation and managing Event activities and logistics. Emperium ensures the implementation of appropriate technical and organizational measures to safeguard Participants' personal data against unauthorized access, loss, or misuse.
3. Participants have the right to access, correct, or request deletion of their personal data at any time. Such requests should be directed to info@xiaomiwinterlaunch.cz.
4. Data protection and privacy matters are further governed by the Privacy Policy (please see the link above). Participants are encouraged to review the Privacy Policy for comprehensive details on how their data is collected, used, and protected.
5. Payment terms
1. The costs of the services provided by Emperium as (i.) the price of flight tickets, (ii.) accommodation or (iii.) costs and expenses for other services explicitly requested and approved by Client, are covered by the Client as per the agreement between Emperium and the Client. Participant is obliged to cover by her/himself, among others, the costs that are set forth in paragraph 3.3 and 6.5. of these T&C .
2. Emperium has no involvement in, nor any responsibility for, any arrangements or agreements between the Client and Participants regarding the reimbursement of costs. Any such matters are solely between the Client and the Participant.
3. Participants are not required to make any direct payments to Emperium for the Services provided or the travel arrangements.
6. Liabilities and Disclaimers
1. Emperium is responsible for organizing the Event and making travel arrangements based on the information provided by the Participants. However, Emperium shall not be held liable for any issues arising due to circumstances beyond its control, including but not limited to:
- Natural disasters, strikes, or force majeure events,
- Delays or cancellations by airlines, hotels or other service providers,
- Governmental restrictions or regulatory changes.
2. Emperium will make reasonable efforts to rectify any errors caused by Emperium itself but does not guarantee resolution in circumstances beyond its control.
3. Participants are solely responsible for providing complete, accurate, and up-to-date information, including but not limited to:
- Full legal name as per travel documents,
- Correct contact details,
- Passport and visa information.
4. Emperium shall not be liable for any issues arising due to incomplete, incorrect, or outdated information provided by Participants, including but not limited to:
- Misspelled names or discrepancies causing issues with flight ticket issuance or check-in,
- Visa rejections or travel bans,
- Additional costs incurred for corrections, rebooking, or penalties from airlines or other service providers.
5. Any costs arising from errors or omissions in the information provided by Participants, including administrative fees for corrections, shall be borne by the Participant.
6. Participants are responsible for their actions and behavior during the Event, including their travel to and from the Event. All Participants must adhere to the Event rules, instructions provided by Emperium, and any applicable laws or regulations. Emperium will not be held liable for any damages, injuries, or health issues incurred by Participants, in particular but not limited to as a result of:
- Third-party actions: Any harm caused by other Participants, vendors, or any third parties during the Event, icluding travel to and from the Event,
- Self-inflicted incidents: Any injuries, damages, or health issues caused by the Participant’s own actions, negligence, or misuse of Event facilities.
7. Participants are responsible for their own health and well-being throughout the Event. Emperium is not liable for any medical conditions or emergencies arising before, during, or after the Event.
8. Emperium is not responsible for any loss, theft, or damage to personal belongings of Participants, whether occurring during the Event or in transit to/from the Event. Participants are encouraged to safeguard their valuables at all times.
9. Emperium does not assume any liability for incidents, accidents, or inconveniences experienced while traveling to or from the Event. Participants are advised to plan their travel responsibly and take necessary precautions.
10. Emperium will not be held liable for any unforeseen harm, loss, damage, injury, disruptions or cancellations, government restrictions, or other unforeseen emergencies.
11. Emperium shall not be liable for indirect, incidental, or consequential damages, such as loss of travel opportunities, missed connections, or additional costs incurred due to Participant´s errors.
12. By submitting the personal information through Website and/or participating in the Event, the Participant acknowledges that certain risks are inherent to attending or participating in travel, gatherings, activities, or performances. Participant accepts these risks and agrees that Emperium bears no responsibility for any resulting issues.
13. The Participant agrees to release Emperium from any liability for damages, losses or injuries as outlined herein, with the exception of damages caused solely by fault on the part of Emperium, i.e. Emperium's mistake in filling in the Participant’s data that was correctly provided by the Participant.
14. Participants must notify Emperium of any changes to their personal or travel information at the earliest opportunity. Failure to do so may result in disruptions for which Emperium will not be held liable.
7. Final Provisions
1. These Terms and any other contracts and legal relationships (unless otherwise explicitly provided) shall be governed by the laws of the Czech Republic. Any disputes arising here shall be resolved by the courts of general jurisdiction in the Czech Republic.
2. Provided that we enter into a separate written agreement with Client or Participant, provisions of which deviate here from, such different provisions shall take precedence over the respective provisions of these Terms.
3. Should any of the provisions hereof be ascertained as invalid, ineffective or unenforceable, upon mutual agreement such a provision shall be replaced by a provision whose sense and purpose comes as closely as possible to the original provision. The invalidity, ineffectiveness or unenforceability of one provision shall not affect the validity and effectiveness of the remaining provisions hereof. Unless otherwise provided hereby, any changes and amendments hereto may only be made in writing.
These General Terms and Conditions enter into force and become effective as of 16. 12. 2025.
